The Professional Services Specialist 4 (PSS4), Administrative Assistant for the Educational Opportunity Fund (EOF) program is a Grant funded Position and will be responsible for assisting with day-to-day administrative support to the Executive Director for Educational Opportunity and Success Programs. The PSS4, Administrative Assistant will serve a front-line support in a high volume, student-centered environment. The PSS4, Administrative Assistant should be organized, a self-starter, have excellent communication skills, and willing to adapt to change quickly.

Responsibilities:
  • Provide administrative support, as requested to the Executive Director, including but not limited to, calendar management, appointments, handling mail, and editing and drafting documents and collateral materials
  • Prepare and maintain an accurate, organized shared drive and encrypted drive, include files, reports, spreadsheets, and pertinent financial, personnel, and student information
  • Assist in the tracking of demographic data on behalf of the Educational Opportunity Fund (EOF) Program
  • Assist Executive Director in preparation and completion of state and university reports (e.g. monthly, quarterly, annual)
  • Provide excellent customer service that includes responding to in-person, telephone, email, mail, and performing routine office duties related to students, administrators, parents, faculty, staff, vendors/contractors of the university
  • Assist in the planning, coordination and implementation of programs and services for students
  • Assist in the preparation and coordination of meetings, programs, and events
  • Utilize University systems including Chrome River, Banner 9, Bank of America (BOA) – Works, Hire Touch, Self-Service Banner, and other University Administration & Finance systems
  • Ensure appropriate financial accounts charged and reconciled, in coordination with the Executive Director and or designee
  • Prioritize and manage multiple competing priorities, include tasks and projects, related to meeting the mission of the Educational Opportunity Fund program
  • Must keep abreast of current New Jersey Educational Opportunity Fund policy and procedures
  • May be required to learn to utilize various types of electronic and/or manual recording and information systems used by the department

  • Qualifications:
  • Bachelor's degree from an accredited college or university
  • Ability to utilize various e-resources (Google, Outlook, Qualtrics)
  • Excellent interpersonal, communication, and organizational skills
  • Ability to prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Ability to multi task
EXPERIENCE: One (1) year of professional experience in different aspects of administration and business practices; including design and implementation of policy and procedures, vendor service contracts and improving and updating management practices.

NOTE: Applicants who do not possess the required education may substitute experience on a year for year basis.

EOF Counselor - Rowan College at Burlington County

SUMMARY DESCRIPTION:

Reports to the Director of the EOF, follows policies, procedures and guidelines to independently perform required functions and coordinate holistic services to assist in the achievement of EOF program, departmental, and college-wide IEP goals and objectives. 

OVERALL PURPOSE & RESPONSIBILITY:

 The primary and most important overall responsibility of all employees is to provide service in a pleasant, helpful, and effective manner to our students and other members of the College community.

 INSTITUTIONAL EFFECTIVENESS:

Accepts responsibility for the timely preparation of student outcomes assessment efforts of the faculty in planning, collecting data, and reporting dates as they relate to course outcomes, program outcomes, general education outcomes, and developmental program outcomes. Actively participates in setting annual division goals and objectives, completing OIR reporting forms, collecting data, analyzing data, and preparing a report using guidelines established by OIR.

SPECIFIC DUTIES AND RESPONSIBILITIES:
Provide a structured on-going academic, career, transfer, financial, and personal counseling for assigned EOF student cohort. 
Access and use college data management systems to maintain student information, advisement contacts, referrals, and program data, as well as prepare an end of semester report and a variety of other reports as needed.   
Monitor and track EOF students' academic performance and progress and provide advisement (including e-advisement). 
Work closely with the Director to contribute to the design, coordination and implementation of effective strategies to assist with EOF student persistence and retention efforts.
Maintain an EOF student caseload and advisement schedule campus-wide.  Refer students to appropriate resources both on and off campus. 
Compile and study occupational, educational, and economic information to aid EOF student cohort in developing and attaining vocational and educational objectives.
Develop and facilitate gender-based student empowerment initiatives to support personal development, leadership skill development, and development of academic behaviors that enhance student success.
Collect and analyze data each semester to use in co-developing and co-facilitating empowering workshop offerings for EOF students.  
Identify and facilitate implementation of various workshops on college success to enhance the retention of EOF students with a focus on second year students. 
Serve as student advocate for scholastic standings and student conduct hearings. 
Assist with recruitment efforts at both on- and off-campus locations; some evenings and weekends may be required. 
Work closely with the Director to complete and submit reports on student counseling, referrals, program accomplishments, budget management, areas of improvement and annual action plans.
Establish, develop, and maintain positive working relationships with high school guidance counselors, foster care case workers, and other relevant community advocacy groups to help further advance the mission of EOF.
Work collaboratively with personnel in Academic Affairs and across the Enrollment Management and Student Success Division to identify areas to be developed and improved with the EOF student population (e.g., critical thinking, study skills, test-taking, etc.). 
Answer telephones and provide supporting program or college information to students.
Maintains a working knowledge of all type of financial aid available to students, and the rules and regulations governing them. 
Maintain the overall daily operation of the EOF program in the absence of the EOF Director.
Attend training programs and serve on campus-wide committees as required.
Perform other related duties as assigned by the Director. 
MINIMUM QUALIFICATIONS:
 EDUCATION REQUIRED:

Bachelor’s Degree in Psychology, Sociology, Counseling, Higher Education or a related discipline.

 Master’s Degree preferred. 

Years of experience will be considered in lieu of education level.

MINIMUM EXPERIENCE REQUIRED:

At least two years of professional experience in college level academic counseling, career counseling and/or financial advisement.

Demonstrated competency working effectively with diverse student populations including first generation college students and students from low socio-economic backgrounds. 
Demonstrated ability to counsel and effectively handle student crisis situations (e.g., death of a loved one, homelessness, depression, etc.). 
Superior interpersonal and written communication skills.  
Ability to adapt to and promote the mission of a comprehensive community college.
Demonstrated proficiency in use of computers and diverse databases.  
Demonstrated ability to work as a productive member of a high-performing team. 
Experience working with an ethnically diverse population is desirable.
